AI Usage Memo & Policy
As you may know, AI tools have become increasingly prevalent in the workplace, and we, at HFA, are excited about the opportunities they present.
OpenAI’s ChatGPT, for example, has made AI as accessible as Google and is great for tasks like preliminary research on new topics or drafting content such as emails or letters.
As we continue to explore the use of AI tools to improve efficiency and enhance our business processes, we must also ensure that they are used in a responsible manner. To that end, we are working on drafting a formal policy that will govern the use of AI tools within HFA.
Until the policy is finalized, these principles will guide the use of AI technology:
- The use of proprietary, confidential, or business identifying information such as employee info, business contacts (vendors/customers), financial information, sales volume, or product lists in the use of these products is strictly prohibited.
- Any content, generated by the AI that you use, you are responsible for. In the event you use it to generate content, it’s extremely important for you to take ownership of the accuracy of the information.
- NOTE: This tool is designed to sound confident but has been known to go haywire. Always DOUBLE CHECK the output.
We understand that the use of AI tools is a new and evolving area, and we appreciate your cooperation and commitment to helping us ensure that these tools are used responsibly. We welcome any feedback or suggestions that you may have to better position us for what feels like the next industrial revolution.
If you have any questions or concerns about this memo or the use of AI tools in general, please do not hesitate to contact me.
